Before you start
- Only the business owner manages the Team page. Members see "This section isn't enabled for your account" instead.
- Team members are available on Growth and higher plans. Starter has one seat: yours. The number of seats depends on the plan (Growth 2, Scale 5, Pro 20) and shows as "{used} / {limit} seats". Pending invitations hold a seat too.
- The invited person must sign in with a verified account on the e-mail address the invitation was sent to.
Steps
Inviting an employee
- On Settings, press Open team on the Team card, or go straight to the Team page.
- Press Invite an employee and fill in E-mail address.
- Choose one of the Ready presets: Operations, Customer care, Accounting or Manager. A preset is a starting point; you can change any tick. Full access opens everything your plan allows.
- Press Send invitation. The invitation appears under Pending invitations; manage it with Resend or Revoke. An invitation past its date is marked Expired.
Choosing what each person sees
- On a member, press Edit access.
- Tick the features. If a feature needs another one, that one is ticked too; when you untick something, what depends on it is unticked and you see a note.
- Three kinds of amounts are chosen separately: Sales figures (revenue, sales charts), Order totals (each order's own amount) and Costs and profit (cost, commission, fees, margin, profit). Amounts of an unticked kind are hidden from that member with the note "Some amounts are not included in your access".
- Publish prices, Store connections and Update payment method can only be granted by you; they are off by default.
- Press Save access. Features outside your plan appear disabled with "Not in your plan".
Permission groups (Pro and Enterprise)
- In Permission groups, press New group and give a Group name.
- For each area tick See and Change, then press Save group. A business can have up to 30 groups.
- When editing a member's access, pick the group in the Permission group list. Groups are for limited access; a Full access member cannot be given a group. A group that still has members cannot be deleted; move them first.
Suspending and removing
- Suspend closes the member's access on their next request; the seat and settings are kept and Restore brings them back.
- Remove closes access and frees the seat. Past records are never deleted.
What you should see
A member on a closed page sees "ask the business owner", never an upgrade offer. As owner, your plan and permissions are unaffected.
Troubleshooting
- If it says "All seats are in use", revoke an invitation or remove a member.
- If it says someone changed this member meanwhile, reload the page and try again.
- For plan questions see Billing and plans.
